Terms of Service
Last updated: July 2025
1. Acceptance of Terms
By accessing or using iRace.online (the "Platform"), creating an account, or completing a race registration, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use the Platform. These Terms apply to all users including participants, event organisers, and visitors.
2. The Platform
iRace.online is an online platform that enables event organisers to list multi-sport and road-running events and enables participants to register for those events. We act as a facilitator between participants and event organisers. We are not the organiser of any event listed on the Platform unless explicitly stated.
iRace.online is a division of iAdvanceGroup. References to "iRace.online", "we", "us", or "our" in these Terms refer to iRace.online as a division of iAdvanceGroup.
3. Account Registration
- You must provide accurate, current, and complete information when creating an account.
- You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account.
- You must notify us immediately of any unauthorised use of your account.
- Accounts may not be transferred to another person without our prior written consent.
- We reserve the right to suspend or terminate accounts that violate these Terms.
4. Race Registrations
4.1 Accuracy of Information
You are responsible for ensuring that all information submitted during registration — including your ID number, date of birth, gender, emergency contact, and medical details — is accurate and up to date. Providing false information may result in disqualification and cancellation of your entry without refund.
4.2 Confirmation
A registration is only confirmed once payment has been successfully processed and you have received a confirmation email containing your entry number. Submitting a registration form does not guarantee a place in the event.
4.3 Entry Limits
Events may have a maximum participant capacity. Entries are allocated on a first-come, first-served basis. Once an event is full, registrations will be closed.
4.4 Cancellations and Refunds
Cancellation and refund eligibility depends on the individual event organiser's policy and the time remaining before the event. Full details are set out in our Refund & Cancellation Policy. Payment gateway processing fees are non-refundable in all circumstances. If you cancel your registration, contact the event organiser directly in the first instance.
4.5 Event Changes
Event organisers may modify event details, including date, venue, route, and race distances. In the event of cancellation or significant changes, the organiser is responsible for communicating with participants and managing any refunds. iRace.online accepts no liability for changes made by organisers.
5. Payments
Entry fees are displayed in South African Rand (ZAR). Payment is processed through a third-party payment gateway. By completing payment you agree to the payment provider's terms and conditions. iRace.online does not store your card details.
Temporary licence fees (for non-club members) are included in the entry fee where applicable and are passed on to Athletics South Africa in accordance with ASA regulations.
6. Indemnity and Assumption of Risk
Participation in road-running and multi-sport events involves inherent risks including physical injury, illness, or death. By registering for an event you acknowledge these risks and agree that:
- You are medically fit to participate and have consulted a doctor if you have any health concerns.
- You participate entirely at your own risk.
- You release and indemnify iRace.online, the event organiser, volunteers, sponsors, and all associated parties from any claims arising from your participation, including claims arising from negligence.
- For participants under 18, the parent or guardian accepts these risks and indemnities on the participant's behalf.
This indemnity is presented to you during the registration process and must be accepted before your registration can be completed.
7. Race Numbers and QR Codes
Your race number and QR code are issued exclusively for your personal use. They may not be transferred, sold, or used by any other person. Using another person's race number or allowing another person to use yours is a serious breach of race rules and may result in disqualification and a ban from future events.
8. Merchandise
Merchandise orders placed during registration are final once payment is processed. Sizes and specifications are as described at the time of purchase. Event organisers are responsible for the fulfilment of merchandise items. iRace.online accepts no liability for merchandise quality, sizing, or availability.
9. Event Organisers
Event organisers who list events on the Platform agree to:
- Provide accurate and complete event information.
- Comply with all applicable South African laws, including ASA regulations where applicable.
- Handle participant personal information in accordance with POPIA.
- Take full responsibility for the safe organisation and execution of the event.
- Communicate any material changes or cancellations to registered participants promptly.
iRace.online reserves the right to remove or delist any event that does not comply with these requirements or that is brought to our attention as being unsafe or fraudulent.
10. Intellectual Property
All content on the Platform — including logos, text, graphics, and software — is the property of iRace.online or its licensors and is protected by South African and international intellectual property laws. You may not reproduce, distribute, or create derivative works from any content without our prior written consent.
11. Limitation of Liability
To the fullest extent permitted by law, iRace.online shall not be liable for any indirect, incidental, special, or consequential damages arising out of or in connection with your use of the Platform, including but not limited to loss of data, loss of revenue, or personal injury. Our total aggregate liability to you shall not exceed the amount you paid for the specific registration giving rise to the claim.
12. Privacy
Your use of the Platform is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
13. Governing Law
These Terms are governed by the laws of the Republic of South Africa. Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the South African courts.
14. Changes to These Terms
We reserve the right to update these Terms at any time. Updated Terms will be posted on this page with a revised date. Your continued use of the Platform after changes are posted constitutes your acceptance of the updated Terms. If you do not agree with the changes, you must stop using the Platform.
